Office Manager / PA to Head of Finance
Our client is searching for an Office Manager / PA to Head of Finance to work in the team responsible for:
Establish and maintain files and contact lists
Full Diary Management with internal and external personal – scheduling and maintaining calendar appointments
Screening of calls, e-mails and correspondence
Organising travel itinerary
Deal with projects and departmental matters as required
Production of Management reports
Design Power-point presentations
Excellent working relationships with Senior Managers
General day to day activities
Conduct the business of the Company at all times in a courteous and efficient manner.
Undertake any other task as may reasonably be required by the Company.
Management of the local facilities/office procedures manual for the efficient running of all offices.
Planning of office and relocations for staff inc. IT and telephony requirements.
Project management of minor projects as designated by Head of Finance and Treasury inc. project plans and weekly reports on progress.
Coordinate and minute all relevant meetings.
Ensure smooth operation of office security and that all personnel are issued with security passes and maintain database of security system.
Control of facilities maintenance. Liaison with appointed Maintenance. All day to day matters arising from same, including leasing between Technical team and contractors.
Liaison and management of all suppliers to Office including cleaners, furniture, etc.
Manage all Health and Safety matters.
Liaison with Landlords and their representatives as necessary
Experience Required
Secretary and administration experience
Previous office management experience
Experience of working with a team
Previous Health and Safety Training and advantage
Additional Skills Required
Courteous and professional phone skills required
You must be a dynamic, energetic individual with a positive attitude
Excellent written English
Have the ability to prioritise and handle multiple tasks
Excellent communication skills
Handles stress well
The ability to operate under pressure in a fast-paced, changing environment
